Read this before anything else. Program membership covers your non-clinical staff. It does not cover anyone licensed, registered or certified — they are not included in program membership and must hold a CCAPP Individual Membership to use the channel. Both are quoted below exactly as the CE Hub states them.

Clinical staff are not covered by program membership

“All licensed, registered, or Certified individuals must be CCAPP individual members ($100 per employee) to use the compliance channel, which includes unlimited CE’s.”

  • Program membership does not include them. A counsellor who is licensed, registered or certified cannot open the channel on the strength of your $500 — they need an individual membership.
  • It is an individual membership, in the person’s own name. CCAPP’s costing counts it “$100 per employee — only licensed, Registered, or Certified individuals, if they are not CCAPP individual members”, so anyone already holding one is already covered.
  • With it they get every compliance course free, and unlimited CE besides.
  • Your dashboard tracks them, assigns to them and reports on them exactly like anyone else on the roster.

The only invoice CCAPP sends your program is $500 a year — and that $500 does not extend to your clinical staff. Anyone licensed, registered or certified needs an individual membership before the channel will open for them.

“If a program is not a member, individuals can purchase courses at full price.” That is $50 to $100 per person per course — roughly what a whole year of individual membership costs, for one course. Each course states its certificate type before you enroll, and the certificate is issued as soon as you finish.

Your program is billed $500. Even a program that buys a membership for all forty of its clinical staff pays $4,500, against $6,000 to $12,000 for a platform.CCAPP’s own published comparison. The full arithmetic is later in this document.
The compliance view

One board. Every person, every requirement.

Staff down the side, your requirements across the top. Each cell tells you the one thing you need: Done, how many days are left, or how many days it is overdue — at a glance, in color, without opening anything.

  • Green Done means the course is completed and passed — not started, not attempted.
  • Amber appears at seven days out, so you see problems while they are still fixable.
  • Red says exactly how far past due, so you know who to talk to first.
  • Requirements are grouped by the timeblock you named — “Annual compliance”, “New hire”, whatever you call them.

Creating a timeblock assigns the courses automatically (so everyone has access), reminds each person by email at 14, 7 and 3 days out and on the due day, nags their dashboard, and stops the moment a course is completed. You’ll get one weekly digest if anyone goes overdue.

Set it once

You set the expectation. The hub does the chasing.

A timeblock is a requirement in plain terms: these courses, for these people, by this date. Give it a name your team already uses and the hub takes it from there.

  • It grants access itself. Everyone covered is enrolled automatically, so nobody is ever nagged about a course they cannot open.
  • “By a set date” for annual requirements — tick renews annually and next year starts clean on its own.
  • “Within 30 days of joining” for orientation — every hire gets their own clock from their own start date.
  • It stops the second someone finishes. No reminder ever goes to a person who is already done.
  • Change it anytime. Edit a timeblock’s courses, who it covers, or its due date whenever things shift — or duplicate last year’s to start the new one in a click.
  • Two libraries, clearly marked. Every course is tagged CCAPP SUD or NBHAP Mental Health, and a one-click filter shows just your program’s list — so the catalog never looks doubled.

Credentialing compliance

Every license and certification, checked at the source.

The same dashboard tracks your clinical staff’s credentials. You mark who is credentialed; the hub reads their records from the agencies that issue them — CCAPP and the California Department of Consumer Affairs — through the CCAPP Data Hub. You never type a credential level.

  • A number is proof. Enter a license or certification number on someone’s record and that credential is linked on the spot.
  • A name is only a lead. The hub also searches by name, but two people can share one — so a name match waits for you to confirm it is your person, once.
  • More than one credential? Fine. An LCSW who also holds a CCAPP SUD credential shows both, each with its own agency, number and expiration date.
  • It keeps checking. Every linked credential is re-read from its agency each week. Each name is searched again every month, so a new or higher credential shows up for you to confirm.
  • Problems rise to the top. An expired credential, or a status like probation, goes to the top of your list — above overdue training.

Your Voting Representative and any account managers you designate have the same powers — an HR manager can add staff, assign training and pull the audit file without waiting on anyone. The Rep is emailed whenever a manager changes the manager list, so oversight never costs you speed.

  • Status you can trust. The roster reports whether someone can actually sign in — not what a database field claims. “Invited”, “No login yet” and “Broken link” each say exactly what is wrong and what to do.
  • Counselors who are already CCAPP members stay sovereign. They accept your connection, they can disconnect at any time, and removing them from your dashboard never touches their own courses or certificates.

Course progress is pulled from the platforms that host the training. When that pull is behind, the dashboard says so — in orange, at the top of the card, before you act on it.
